Provo City Recorder Records

The Provo City Recorder maintains all official city government records. This includes Municipal Council minutes, ordinances, resolutions, and signed contracts between the city and outside parties. Council agendas and minutes are posted online on the city website. If you need records not posted there, you submit a GRAMA request through the City Recorder's office. The city must respond within 10 business days under Utah Code section 63G-2. Inspecting records in person is free. Printed copies are $0.25 per page. The Recorder can tell you which department holds the records you need if it is unclear from your request.

Provo Police offers online report lookup for certain incident types. This lets you retrieve basic information about a case without visiting in person. For full report copies, you still need to contact the Records Division directly at (801) 852-6262. You will need the incident date, a case number if available, and the name of at least one person involved. Fees apply for copies. Call ahead to get the current fee schedule.

Provo Police handles a range of incidents given the city's size and the presence of BYU. Records from university-affiliated incidents may also involve BYU Police, a separate agency. The Fourth District Court is at 125 North 100 West, Provo, UT 84601, and can be reached at (801) 429-1000. Both the Municipal Court and the Fourth District Court maintain records that are searchable through the Utah Courts XChange system. XChange lets you search by name or case number and view case status, docket entries, and party information. Each search costs $0.35, or you can pay $40 per month for unlimited access. Free terminals are available at the courthouse if you prefer not to pay the online fee.

For certified copies of court documents, you contact the clerk of the specific court. Municipal Court records and Fourth District records are kept separately. Make sure you are contacting the right clerk for the case you need. Most records are public. Sealed juvenile cases and certain protected filings are restricted, but the clerk can let you know before you make a trip to Provo.
